Frequently Asked Questions
How do I request A.V. equipment for a Law School class or event?
Law school faculty and staff* must fill out the A.V. request form at least two business days in advance of your class or event. You will receive confirmation of your reservation by email. Emergency requests should be made by phone at (718) 780-7507; however, last-minute equipment availability cannot be guaranteed. *(Students, please see the student section below.)
Why must I use the A.V. request form?
The importance of the A.V. request form is twofold. It has been designed to help you think through all that is necessary to insure your A.V. needs are sufficiently met for your class or event. Secondly, when you click on “submit” you are sending your request not just to one person, but everyone who may be involved in supplying your equipment and seeing to it that it is up and running in time for the event. Requests left in a phone message, a memo, or in passing in the hallway can’t do all that, and in these cases you will more than likely be directed to fill out the request form just to insure that everything works smoothly.
When requesting the equipment should I pad the time for setup and takedown?
Please provide the exact start and end time of the event in your A.V. request. We use the times not only to schedule the equipment but also any necessary personnel who will be on hand during the event. Equipment is usually setup well in advance of the event. If you have any concerns about setup time, please indicate them in the “Special Request” box on the A.V. booking form.
What if I don’t know how to use the equipment I am requesting?
Use of school audio/visual equipment requires some basic operational knowledge on the part of the presenter or his or her assistant, whether in classroom settings or at Law School events. Presenters may make a appointment for training ahead of time with the IT department at (718) 780-7507 or support@brooklaw.edu.
What guidelines should presenters follow when preparing a Power Point or Corel presentation for an event using the school’s equipment?
- PowerPoint/Corel Presentations must be able to be loaded onto and presented from a Brooklyn Law School computer. The presenter’s laptop cannot be used for the actual presentation for several reasons: switching computer equipment disrupts the flow of the event, there are too many possibilities for unforeseen conflicts between the presenter’s and the school’s equipment, using outside equipment raises issues of security and the spread of viruses on our network.
- Presentation must be provided to the school in one of the following formats:
- either by email (deadline 24 hours prior to event)
- or on CD, floppy disk or memory stick (deadline 1 hour prior to event)
- The BLS IT department will load the presentation onto the school’s equipment before the event.
- We cannot transfer the presentation to the BLS system directly from the presenter’s laptop. If the presenter intends to bring the presentation to the event on his or her laptop, he or she must insure ahead of time that the laptop is equipped to save the presentation onto the appropriate removable media (CD, disk, memory stick) with adequate memory to store the presentation.
- Presenters are encouraged to arrive a half hour before the event, allowing at least five to ten minutes to learn the specifics of the BLS equipment and to do a test run of their presentation.
- The BLS IT department will be happy to handle phone inquiries before the event (718-780-7507), however presenters from outside the BLS community are also encouraged to seek ahead of time the necessary assistance from their own institution’s IT or office staff for the specifics of saving their presentation onto removable media (CD, disk, memory stick).
These and other requirements and guidelines for presenters at Law School events are available in PDF format. Download and print guidelines. (Adobe Acrobat Reader is required. Download free software.)
Can I borrow a projector or other equipment for meetings outside of the Law School?
Off-campus use of Law School equipment must be requested at least one week ahead of time, will depend upon the availability and may be permitted for a period of time no longer than 48 hours.
